Add allows an Administrator to create a Workflow and associate moderators with the Workflow.
Note: the Workflow Manager Privilege is required to add a new Workflow.
Workflow Details
To mange Workflow go to Administration -> Setup -> Workflow -> Add. The following view will be presented:
Name
Enter an appropriate name for the workflow.
Description
Enter an appropriate description for the workflow.
Enable Authoring
If required, select whether or not workflow moderators may also edit pages in workflow. Select whether all Moderators may edit pages, or just those at nominated points in the Workflow process.
Indicate Significant Change
If Portal is in use on the site, select to add Significant Change notification to he workflow.
Note: the author will be asked if the change they have made is significant. if yes the page will be added to the email digest of changes. If no the page will not be added to the digest.
Enable 'Step over by Role'
Check if required.
Note: if the user is both the author and moderator of the change, they will be offered the option of bypassing workflow and publishing the page. If required, select to allow step over by role without generating notifications.
Exclude Author from Step Notifications
If required, check to exclude the content author from notifications such as the moderation required message. The author will only receive notification of the final outcome of the workflow process.
2. Click Save Workflow and then Adjust Workflow Steps. The following view will be presented:
4. Edit/configure:
Step Name
Enter an appropriate name for the step.
Enable Authoring
Check if required.
Notification
If required, select Add User/Group To Notification List.
Note: check to select the appropriate users and click Use Selected Users and Groups. These users will receive a notification email advising that that changes have been published.
Moderation
If required, select Add User/Group To Notification List.
Note: check to select the appropriate users and click Use Selected Users and Groups. These users will receive an email advising that that changes required moderation.
5. Click Save Step. The following view will be presented:
6. If required repeat the steps above to add an additional step to the Workflow, click to add a Transition, or click Finished.
