To add a new digital asset to an Easysite page, right click the Add/Upload Asset icon and select New...The following view will be presented:

1. Click to browse for an Asset, or alternatively drag and drop an asset into the file place holder.

2. Click Next. The following view will be presented:

3. Edit/configure:

Title

The title is presented as the name of the asset in the Asset Manager, in search results or by a dynamic page element such as User Gallery. Enter an appropriate title for the asset.

Alternate Text

Alternate text is presented when a user is unable to view the asset directly, for example when utilising screen reading software. Enter appropriate alternate text.

Short Description

In the case of images the Short Description populates the caption field for the image. If required, enter an appropriate short description.

Scheduling

Select the Scheduling tab. The following view will be presented:

Go Live Date

Enter an appropriate go live date for the asset. The asset will not render to end users until this date is reached.

Review schedule

A review schedule is a formal review policy for assets, including nominated reviewers and escalation points. Select the required review schedule.

Review Date

Enter a date by which the asset requires review. Review schedule actions will be scheduled against this date.

Expiration Date

Once an asset has expired it will no longer render for end users. If required, enter an appropriate Expiration Date.

Expiration Category

Select an appropriate category for the asset to be relocated to once it has expired.

Archive Date

This is different to an expiry date, as the document retains all of its original attributes but is also simply marked as “Archived”. The document will not appear in searches unless an authorised user is specifically searching within the archived document. This would be accessed via a specific search facility using an template element such as Asset Browser.    

Archive Category

Select an appropriate category for Archived assets to be relocated to.

Deletion Date

If required, enter a date when the asset will be deleted from Easysite.

Categories

Check to select the appropriate category or categories for the asset. Within the Asset Manager categories are used to store assets and also control access to the asset.

Tags

If required, select an owner for the asset. This is typically used to indicate the owner of the content of the asset, as opposed to the system user who last uploaded or edited the asset. Other meta tags may also have created. If required populate this with appropriate content.

Advanced

Description

If required, enter an appropriate Long Description. This should be the URL of a location which contains a long description of an image.

Keywords

Keywords will help system user locate the asset within the asset manager. Words or phrases may be entered and should be separated by commas. 

Featured

If required, check to make the asset a Featured Item. Featured Items are promoted to the top of the search results page.

Shortcut URL

If required, enter an appropriate 'vanity URL' for the asset. This is useful if the asset is to be referenced in printed material.

External URL

Easysite will generate an external URL with which the asset can be directly accessed. The Shortcut URL may be used to create a more user friendly version.

Extension

The file type of the asset will be recorded here.

ID

Easysite will allocate an ID number to each assets. 

4. Click Save. The following view will be presented:

Image Mapping

Image mapping allows links to be embedded within an asset, for example to allow end users to click on locations within a map. Third party software can be used to generate co-ordinates which may be pasted into the Image Mapping tab.

5. Click Browse to upload another asset, or Save to add the asset to the page.
